Cancellation & Refund Policy

1. Overview

This policy applies to all paid subscriptions and payment transactions on Qord (available at qord.in). By subscribing to a paid plan or using Qord to collect payments, you agree to the terms set out in this policy. All payments are processed securely by Easebuzz, our PCI-DSS compliant payment partner.

This policy covers two distinct categories of payments:

  • Qord SaaS Subscriptions — fees paid by property owners to access the Qord platform.
  • Booking Payments — payments collected from guests by property owners through the Qord platform.

2. Qord SaaS Subscriptions

2a. How to Cancel Your Subscription

You may cancel your subscription at any time, without penalty, directly from your account dashboard:

  1. Log in to your Qord account.
  2. Navigate to Dashboard → Settings → Billing.
  3. Click "Cancel subscription" and confirm.

No email or support request is required. Cancellation takes effect immediately, but your access continues until the end of your current paid billing cycle.

2b. Access After Cancellation

Your subscription remains active until the end of your current paid billing cycle. No further charges will be made after the cancellation date. At the end of the cycle, your account is downgraded to the free tier. Properties, bookings, and data are retained for 90 days on the free tier, after which inactive accounts may be archived.

2c. Refund Eligibility for Subscriptions

Qord SaaS subscription charges are generally non-refundable. Partial refunds for unused days are not issued on voluntary cancellation.

Refund requests are considered on a case-by-case basis only in the following circumstances:

  • Accidental renewal: If you were charged upon automatic renewal and had intended to cancel beforehand, you may request a refund within 48 hours of the charge. If the service was not materially used during that period, a full refund will be processed.
  • Duplicate charge: If you were charged more than once for the same subscription period due to a technical error, the duplicate amount will be refunded in full.
  • Service unavailability: If Qord experiences a sustained outage of more than 72 continuous hours attributable to our infrastructure, you may request a prorated credit for the affected period.

To request a refund, email us at support@qord.in with the subject line "Refund Request — [your registered email]". Include your organisation name, the charge date, and the reason for your request.

3. Booking Payments (Agent Model)

Qord operates as a payment intermediary / aggregator for accommodation booking payments. Property owners use Qord to collect advance payments or full booking amounts from guests. In this model:

  • Qord collects payments from guests on behalf of the property owner.
  • Funds are settled directly to the property owner's registered bank account by Easebuzz.
  • Qord does not retain guest funds and is not a party to the accommodation contract between the guest and the property owner.

3a. Cancellation of Bookings

Each property owner sets their own cancellation and refund policy for guest bookings. Guests must refer to the cancellation terms communicated by the property owner at the time of booking. Qord is not liable for accommodation cancellations and does not determine refund eligibility for booking payments.

3b. Refund Processing for Booking Payments

When a property owner approves a refund for a cancelled or modified booking, Qord will initiate the refund through Easebuzz. Easebuzz will reverse the applicable amount back to the guest's original payment method (credit/debit card, UPI, net banking). Refunds typically reflect within 5 to 7 working days from initiation, subject to the guest's bank's processing time.

For booking refund disputes, guests should contact the property owner directly. If the dispute remains unresolved, guests may contact us at support@qord.in and we will facilitate communication with the property owner.

4. Refund Processing Timeline

All approved refunds — whether for subscriptions or booking payments — are processed through Easebuzz and typically reflect within 5 to 7 working days from the date of approval, subject to your bank's processing time.

You will be notified via email when your refund request is received, when a decision is made, and when the refund is initiated.

5. Plan Downgrades & Upgrades

Downgrading to a lower-tier plan mid-cycle does not attract a partial refund for the difference. The new plan pricing takes effect at the start of the next billing cycle.

Upgrading mid-cycle results in a prorated charge for the remainder of the current billing period at the new plan rate.

6. Trial Period

New accounts receive a 14-day free trial. No payment is collected during the trial. If you cancel before the trial ends, you will not be charged. Once the trial expires and payment is collected, this refund policy applies.

7. Payment Security

All payments are processed by Easebuzz, a PCI-DSS certified payment gateway licensed and regulated in India. Qord does not store your credit card number, debit card number, CVV, UPI PIN, or any other sensitive payment credentials. Payment data is handled entirely within Easebuzz's secure infrastructure and never passes through Qord's servers.
